Terms & Conditions

Thank you for choosing Sun Bear Realty. We strive to provide an enjoyable stay for all our guests. Please contact our office immediately with any questions or concerns.

Please review the terms and conditions relating to this reservation.

Renter must be 21 To Reserve and Check-in.


Your booking is not confirmed until processed by the staff at Sun Bear Realty & Management. This includes bookings made online through other websites even if a credit card has been submitted. All bookings are subject to availability, Sun Bear Realty & Management reserves the right to reject any bookings or request for booking that do not meet our criteria.

Your Reservation Confirmation will be e-mailed to you from the office@sunbearrealty.com email. Please review this confirmation. The email will also include links to a maps, directions, and a rental information web page. A 24-hour courtesy hold may be available without obligation. Within 24 hours the $75 plus tax fee will be charged. After this, your reservation is guaranteed and subject to all cancellation fees.

Payments and fees
The total of all rents are due 60 days prior to the date of arrival. Final payment and confirmation of Terms and Conditions must be made through the guest that made the reservation. Reservations will be automatically cancelled if credit card is found to be not valid. A non-refundable administration fee of $75.00 plus tax is added to each reservation.

Home & Condo Equipment
Please be advised that the home you are renting may be located within a condominium or PUD association which contains certain amenities and common areas (which may include but not limited to a swimming pool, gym, elevators, sauna, alarm system, etc..) which may from time to time not be fully functional or operational or may be under repair and that the use of these areas and/or amenities may be unavailable or limited during your stay in the apartment. In this context, while we recognize and regret any resulting inconvenience to our guests, the owner will not be responsible for any such events of outage or unavailability and shall have no responsibility or obligation to grant any discount or refund of any of the rental fee as a result of such circumstances. Please note that associations will also have their own set of rules and regulations. Guests are asked to abide by their rules.

All homes and condos are privately owned and equipped for basic vacation needs. Bed linens and towels are provided. We only supply the number of sets for the number of occupants it sleeps. Each rental starts with some consumable items such as toilet paper, paper towels, tissue paper, trash bags, propane, soap products, etc… These items will not be restocked during your stay. Please bring or purchase as needed. Linens will not be refreshed. Some owners have elected to provide a land line telephone while others have not. If provided, only local calls are permitted.

Maintenance problems in the home or condo will be handled in a timely and professional manner. Sun Bear Realty utilizes outside vendors for all maintenance and as such is subject to availability of all vendors. The rental rate will not be adjusted due to any malfunction of equipment, which includes TV’s, VCR’s, DVD’s, air condition units (if provided), hot water heaters, stoves, refrigerators, door locks, etc.

Damages and Additional fees
Guest understands that as a courtesy, Sun Bear Realty & Management will cover any damage due to inadvertent acts or omissions up to $1200.00 (One thousand Two Hundred Dollars). Guests must advise Sun Bear Realty & Management immediately of any issues and fill out our Theft/Damage Report. If Guest does not inform Sun Bear Realty & Management at the time of the incident and prior to departure or if the damage is caused by the negligent, willful, reckless or wanton act by Guest or Guest’s invitees, Guest will be held responsible for all costs and authorizes Sun Bear Realty & Management to charge Guest’s credit card. Guest agrees that Guest will be held responsible for any amount over $1200 (One Thousand Two Hundred Dollars), even if damage is due to inadvertent acts or omissions and hereby authorizes Sun Bear Realty to charge their card. Guest agrees that the credit card placed on file can be used for payment of damages, missing items or excessive cleaning, telephone charges or downloads on the TV’s in the property. Please understand that you are renting someone’s home and you should respect and treat it as such by removing your shoes and cleaning up after yourself.

Cancellations & Refunds
Your final payment includes a $75 processing fee + tax, cancellations outside of the 60 days will forfeit the $75 processing fee + tax. Cancellations within 60 days of arrival forfeit all monies.

All notice of cancellations must be in writing and acknowledged by the staff of Sun Bear Realty. Please understand that we are selling a commodity to you, and have no control over the weather, therefore we have no provisions for refunds due weather conditions, utility outages, closed roads, medical issues etc.

Should the owner of any property elect to remove their property from our rental program, the guest shall not hold Sun Bear Realty liable. In such an instance, if available, the guest will be relocated to comparable accommodations determined by the rental agency. If comparable accommodations are not available, the booking will be cancelled, and the guest will receive a full refund.

Travel Insurance
Sun Bear Realty is not responsible for events beyond our control, e.g. inclement weather, maintenance issues. Optional travel insurance may be purchased at the time of making initial reservation payment. Please ask a reservation specialist for additional information on travel insurance. Purchase of travel insurance is through a 3rd party insurance provider and any claims must be processed through the provider. Please ask for contact info if necessary.

Check-In is after 3:00 PM
Guest arriving after 5:00pm or when the office is closed will find keys left in a lock box outside of our office doors. Office address is 811 Tahoe Blvd, Incline Village NV 89451.

Check-Out is 10:00 AM
Renter and Renter’s entire party must vacate the property and return the keys to the office not later than 10:00 am. Failure to check out on time will result in a fee equal to $50 per hour up to 1 day’s full rental rate. Late check-out is permitted only with prior authorization by Sun Bear Realty & Management office personnel. For lost keys, Renter agrees to pay for the cost of re-keying. All home and condos are cleaned and inspected prior to your arrival and after your departure, the cost is billed with your reservation.

Maximum Occupancy
Each property has a specific maximum occupancy allowed at any time. Take note of the maximum number of guests allowed in the homes and condos before making your reservation. This policy is strictly enforced. Any infractions will result in immediate eviction with no refund.

Gatherings and Nuisance
Our properties are located in residential areas and are rented for personal vacation use only.

Violations of the following may be reason for immediate eviction and forfeiture of all deposits and rental fees. Parties and other large gatherings (exceeding approved sleeping accommodation). All homes have a maximum number of vehicles allowed no exceptions, no street parking is allowed Nov 1 to May 1. NOISE violations, quiet times are from 9:00pm to 10:00am (Some HOA’s and homes may vary), all sound must be contained within the walls of the home you are renting, no loud noise on the deck or in the yard/common area or leaving windows open which affect any neighbors will result in immediate eviction, forfeiture of any deposit, rental fees. Should any local law/ordinance allow for fines of violations, tenant agrees to be responsible for all fees/fines imposed on the tenant, homeowner or Sun Bear Realty.

No Smoking of Any Kind
All homes and condos are Non-Smoking and no smoking of any kind is allowed within 30 feet of the residence, HOA’s do not allow smoking of any kind in the common areas. No exceptions - $300 fine and risk immediate eviction with no refunds. If it is determined that there has been smoking tenant may be responsible for cleaning of carpets and drapes.

Air Conditioning
Please note that nearly all homes in incline Village do NOT have air conditioning. Most locals will leave their windows open in the evening allowing the home to cool down and close the windows during the day to help keep the home cooler.

Please set the heat to comfortable temperature during your stay and in the home. Please reduce heat if you intend to be out of the home for an extended period. When you depart please turn heat down to 55 conserve energy and keep costs lower. Never turn heat off or below

Pet Policy
Other than properties that are explicitly advertised as allowing pets, Sun Bear Realty & Management has a strict No Pets Policy. If it is discovered that the guest or anyone visiting the property during the guests stay brings a Pet, all guests will be asked to leave immediately, you will not receive any refund, you will be charged to have all carpets and upholstery professionally cleaned and you will not be allowed to book through Sun Bear Realty & Management in the future. Please understand that this is strictly enforced to protect the owner’s property and to ensure the comfort of future guests. Each pet if allowed has a $50 pet fee. Most pet friendly homes only allow one dog, unless specified.

Renter agrees to maintain the cleanliness of the premises during the occupancy and to leave the premises clean and in good condition upon departure. Guest pay for general cleaning of linens and common areas. Excessive trash and additional cleaning will be billed. If you would like to schedule additional cleaning services, please call the office for a referral.

Additional Provisions
The agent may enter the premises at any time in the event of emergency, but will use its best efforts to give 24-hour notice for normal maintenance or sales inspections.

The Renter, his/her guests or invitees agree that Sun Bear Realty, employees, directors and property owner shall not be liable to Renter, Renter’s guests, invitees or any other person for any injury, loss or damage to any person or property on or about the rental premises. Renter and Guests shall hold Sun Bear Realty harmless and indemnified from and against all loss or damage occasioned by use, misuses or abuse of any part of or fixture on the premises, surrounding areas and from or against any omission, neglect, or default of the Renter, his/her guests or invitees. The Renter acknowledges that Sun Bear Realty is acting solely in the capacity of Agent for the property owner, assumes no liability hereunder. Any legal action pertaining to your rental must be brought exclusively in the appropriate court within Washoe County in the State of Nevada.

All guests staying in the property are subject to these Terms and Conditions.
